TrueSignals ("we", "us", or "our") operates an AI-powered customer intelligence platform at truesignals.io (the "Service"). This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

2. Information We Collect

2.1 Account Information

When you create an account, we collect your name, email address, and organization name. This information is used to create and manage your account and to communicate with you about the Service.

2.2 Email and Calendar Data

The Service connects to your Gmail account via OAuth. With your authorization, we access your email threads and Google Calendar events in read-only mode. We use this data to build customer intelligence — account health scores, churn signals, renewal alerts, and next-action recommendations.

Your emails are processed, never stored. When we read an email thread, we extract an AI-generated summary and immediately discard the raw content — your email text is never retained in our database. Only the AI-generated summary is kept to power your account intelligence.

We access only the data necessary to provide the Service. We never send, modify, or delete emails or calendar events on your behalf.

2.3 Documents and Attachments

If enabled, the Service may analyze PDF and DOCX attachments from your email threads to extract contract terms, renewal dates, and other relevant business information.

2.4 Usage Data

We collect standard server logs including IP addresses, browser type, pages visited, and timestamps. This data is used to maintain and improve the Service and to diagnose technical issues.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Build and continuously update customer intelligence for your accounts
  • Generate AI-powered health scores, churn signals, and recommendations
  • Send you product updates, alerts, and administrative notices related to your account
  • Respond to support requests and inquiries
  • Detect and prevent fraud, abuse, or security incidents
  • Comply with legal obligations

4. Data We Do Not Use

We do not sell your data to third parties. We do not use your email content, contact data, or account data to train AI models. Your data is used solely to provide the Service to you.

5. Data Storage and Security

Your data is stored on servers located in the United States. We use industry-standard encryption in transit (TLS) and at rest. Access to your data is restricted to authorized personnel who need it to operate and support the Service.

While we implement reasonable security measures, no method of transmission or storage is 100% secure. We cannot guarantee absolute security of your data.

6. Data Retention

We retain your account data and associated customer intelligence for as long as your account is active or as needed to provide the Service. Raw email content is never retained — only AI-generated summaries derived from your email threads are stored to maintain the accuracy of your account intelligence.

When you disconnect your email account, we stop syncing new data. Previously synced data is retained until you request deletion of your account.

7. Your Rights and Choices

You have the right to:

  • Access — request a copy of the data we hold about you
  • Correction — request correction of inaccurate data
  • Deletion — request deletion of your account and all associated data
  • Export — export your data at any time from your account settings
  • Disconnect — revoke email/calendar access at any time via your account settings or directly through Google or Microsoft OAuth settings

8. Third-Party Services

The Service integrates with the following third-party services to function:

  • Google (Gmail & Calendar) — email and calendar data access via OAuth
  • Google Cloud — infrastructure and data storage
  • Google Gemini API — AI processing of email content to generate intelligence

These services have their own privacy policies. We do not control how they handle data independently of our use.

9. Cookies

We use a single session cookie to keep you logged in. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

10. Children's Privacy

The Service is not intended for use by anyone under the age of 16. We do not knowingly collect personal information from children under 16. If you believe we have inadvertently collected such information, please contact us to request deletion.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated Policy on this page and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes your acceptance of the updated Policy.
