Privacy Policy
Who we are
TrueSignals ("we," "us," or "our") operates truesignals.io and provides the TrueSignals app — self-serve software that connects to your team's sales calls, CRM, and Slack workspace and continuously turns what it finds into structured intelligence: battle cards, weekly call digests, knowledge cards, case study snippets, and handover briefs.
What you connect
To use TrueSignals, you connect your own tools directly via OAuth during setup. No files are shared with us manually — you authorize access, and the app connects itself. This may include:
- Zoom, Microsoft Teams, or Google Meet — for call recordings and transcripts, accessed continuously as new calls occur
- Your CRM (Salesforce, HubSpot, Pipedrive, or Close) — for deal stages, contact records, and deal outcomes
- Slack — to deliver briefs, battle card updates, and digests directly to your reps
- Context you provide directly in the app, such as your competitor list, product positioning, or ICP definition
Call recordings contain conversations between your sales representatives and prospects or customers, and may include commercially sensitive information, pricing discussions, and details about named individuals. CRM data may include contact information for your prospects and customers. You are responsible for ensuring you have the right to connect these systems to TrueSignals and to process this data — including any required consent from call participants under applicable law.
How we process your data
Calls are transcribed using AI transcription tools. Transcripts, CRM signals, and Slack activity are then processed continuously using AI language models (currently Claude, provided by Anthropic) to extract competitive intelligence, objection patterns, deal signals, and other structured insights, and to draft the outputs described above.
Outputs are handled in two ways depending on risk. Lower-risk items — such as pre-call briefs compiling information already present in your CRM, or call summaries — are delivered directly to reps without human review on either side. Anything that touches positioning, pricing, or a substantive claim is held in a review queue inside the app for a designated person on your team (typically a VP of Sales or sales manager) to approve, edit, or discard before it reaches a rep. TrueSignals staff do not review this content as part of normal operation.
Your data is used solely to operate the app for your account — it is not used to train models, benchmark systems, or shared with any other customer.
What we store
We store:
- Call recordings and transcripts pulled from your connected tools, for the duration of your account
- CRM data relevant to deal tracking (stages, contacts, deal values) needed to trigger and personalize briefs
- Slack workspace information needed to deliver messages (workspace ID, channel and user identifiers) — we do not store the content of messages reps or managers send back in Slack beyond what's needed for basic delivery confirmation
- OAuth access tokens for each connected service, encrypted at rest, used only to maintain the connection you authorized
- Extracted knowledge cards, battle card updates, weekly digests, and other structured outputs, plus a record of who approved, edited, or discarded each reviewed item
- Your contact information and account details (name, email, company)
We do not store payment card details — payments are processed by a third-party provider (Stripe) and subject to their privacy policy.
Free trial data
During your 14-day free trial, the same data practices described in this policy apply in full — there is no reduced-privacy trial mode. If you do not add a payment method and convert to a paid account by the end of the trial, your connections are disconnected automatically and all associated data (recordings, transcripts, CRM data, and generated outputs) is deleted within 14 days of trial expiry, unless you request earlier deletion.
How we use your data
Your data is used exclusively to operate the TrueSignals app for your account: transcribing and analysing calls, correlating them with CRM activity, producing structured intelligence deliverables, and delivering them via Slack. We do not sell your data, use it for advertising, or share it with third parties outside of what is required to operate the app.
Third-party services
TrueSignals connects to the following third-party providers, either because you've authorized a connection or because we use them to run the app:
- Anthropic (Claude API): Transcripts and related context are sent to Anthropic's API for AI-assisted insight extraction and drafting. Anthropic does not use API inputs to train its models. See anthropic.com/privacy.
- Zoom, Microsoft, Google: Accessed via OAuth to retrieve call recordings and transcripts you've authorized, on an ongoing basis.
- Your CRM provider (Salesforce, HubSpot, Pipedrive, or Close): Accessed via OAuth to read deal and contact data you've authorized.
- Slack: Accessed via OAuth to deliver briefs and updates to your workspace.
- Vercel: Application hosting and infrastructure.
- Stripe: Payment processing. We do not store card details.
Data retention and deletion
Call recordings, transcripts, CRM data, and draft outputs are retained for the duration of your active account plus 30 days after cancellation, then permanently deleted, along with associated OAuth tokens. You may request immediate deletion of all stored material at any time by emailing contact@truesignals.io, or by disconnecting your integrations and cancelling directly in account settings. Approved knowledge cards, battle cards, and digests remain accessible to you for export before deletion — we only delete our working copies and source material.
Confidentiality and access
We treat all connected data — call recordings, CRM records, and Slack activity — as confidential. TrueSignals staff do not routinely access, review, or discuss any customer's calls, deal data, or generated content. Limited access may occur only for debugging a specific technical issue you've reported, or where legally required, and is logged. We do not publish or reference details about any customer's data, deal intelligence, or sales strategy.
Cookies and analytics
Our marketing site and app use basic analytics cookies to understand usage (e.g., page views, trial signups) and to keep you signed in. We do not use third-party advertising cookies or trackers. You can control cookies through your browser settings; disabling them may affect your ability to stay signed in to the app.
Your rights
You may request a copy of all data we hold about you or your organisation, request correction of inaccurate data, or request deletion. Contact us at contact@truesignals.io. We will respond within 30 days.
Changes to this policy
We may update this policy as the app evolves. Material changes will be communicated by email to the account holder. Continued use of TrueSignals after notice of changes constitutes acceptance of the updated policy.
